Job Purpose
We have a globally distributed team. We are growing fast.  Our leadership team and our CEO are based in different parts of the world, with most of them based in the U.S. across several time zones.  Our CEO works closely with many people in the company across many time tones.  Our CEO also has meetings with external people including the board of directors. This Executive Assistant (EA) to CEO is to assist the CEO to manage the CEO’s calendar, schedule meetings as needed with both internal and external people, provide assistance for all aspects of the CEO’s travels, and many other ad hoc projects across the company. The overall goal of the CEO’s EA is to help the CEO do a better job by taking care of all the logistics and tactical tasks wherever possible. 
Duties and Responsibilities
  • Act as point of contact to the CEO among executives, employees, clients and other external partners
  • Proactively manages the CEO’s calendar
  • Timely schedule internal and external meetings, coordinating with other people’s EA and calendars as needed 
  • Format internal and external communication – memos, emails, presentations, reports
  • Prepare and submit expense reimbursement for CEO when needed
  • Make travel arrangements for CEO including buying airplane tickets, arranging for ground transportations, lodging, etc.., as needed
  • Plan, organize and handle arrangements for company functions and events in coordination with various departments
  • Learn to know what are important to the CEO to anticipate tasks
  • Able to prioritize tasks to ensure urgent and important tasks are done on time
  • Perform all activities required by CEO and other executives as needed
  • Excellent written and verbal communications skills

  • Strong interpersonal skills and the ability to build relationships with stakeholders including board members, SLT and staff and external partners at discretion
  • Highly ethical with a sense of doing the right thing – will be dealing with significant information and needs to understand to keep information confidential
Education and Work Experience Requirements
  • Holder of a Bachelor’s Degree
  • 3+ years of EA experience to senior leaders of foreign nationals, EA to a remote leader plus
  • Hands on experience with modern communications tools: Slack, email, Google GSuites, MS Office Suite, knowledge of video editing a plus
Working Conditions
  • This position is for work from home with high speed internet connection
  • Work hours is from late afternoon to late night in order to overlap with the CEO 
  • This position requires accessibility to Offensive Security systems and interfaces, and adherence to all security protocols and policies
