DEPARTMENT COORDINATOR

 

Qualifications:

  • Bachelor's degree in Business Administration, Marketing and any related courses

  • With basic knowledge of CAD & Sketch up

  • Proven experience in a sales support or customer service role, preferably in a B2B environment

  • Strong communication and interpersonal skills, with the ability to interact effectively with customers and internal teams

  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.

  • Proficiency in MIS Office suite (Word, Excel, PowerPoint) and CRM software

  • Detail-oriented with a high level of accuracy in data entry and record-keeping

  • Ability to work both independently and collaboratively in a fast-paced environment

  • Adaptability and willingness to learn new tools and processes

  • Prior experience in the industry of knowledge of relevant products/service is a plus.

Responsibilities:

  • Customer Assistance: Serve as a primary point of contact of customers, addressing inquiries, providing product information, and assisting with order processing to ensure customer satisfaction

  • Order Processing: Process sales orders accurately and efficiently, including order entry, verification, and coordination with relevant department to ensure timely fulfillment and delivery.

  • Sales Coordination: Assist in coordinating sales activities, appointments, and meeting, including scheduling, preparing meeting agendas, and organizing necessary materials.

  • Administrative Support: Provide administrative assistance to the sales team, including preparing sales reports, presentations, and correspondence, as well as maintaining sales records and documentation.

  • Inventory Management: Monitor inventory levels, track product availability, and coordinate with inventory management and logistics teams to ensure adequate stocks and timely delivery to customers.

  • Data Management: Maintain accurate and up-to-date records of sales transactions, customer interactions, and other relevant data in systems or databases for report and analysis.

  • Proposal and Quote Preparation: Assist in preparing sales proposals, quotes and contracts, ensuring accuracy and alignment with customer requirements and company policies.

  • Sales Team Support: Provide support to the sales team members, including coordinating travel arrangements, preparing expense reports, and assisting with the training and onboarding of new team members.

  • Customer Relationship Management: Cultivate and maintain positive relationships with customers by addressing their needs promptly, following up on inquiries, and ensuring a high level of customers service at all times.

  • Market Research: Assist in conducting market research, competitor analysis, and customer surveys to identify trends, opportunities, and potential areas for growth.
